Challenge

A leading pediatric research hospital needed a modern, accurate, and accessible way to manage donor recognition. Their existing donor gift mapping system was outdated and limited in its reporting capabilities. It wasn’t connected to their authoritative space management system, Archibus. Without an integrated solution, maintaining current floor plans, tracking available donor opportunities, and ensuring consistent recognition across the organization was time-consuming and prone to error.

Approach

Atmys worked closely with the client to design and implement a donor recognition tracking solution directly within Archibus. The initiative began with a comprehensive discovery phase, reviewing current workflows, space data structures, and stakeholder needs. From there, donor-information was standardized, aligned, and integrated into a single authoritative system.

Through our consultation, a new end-to-end workflow now guides foundation staff through every step of the donor recognition process, from evaluating opportunities to documenting recognition details. Real-time floor plan views make it easy to visualize available spaces and current naming placements, giving staff immediate clarity and fewer manual steps.

To support long-term success, the team incorporated data governance structures, user training, and ongoing support resources. Regular engagement with stakeholders established alignment, encouraged feedback, and ensured a seamless launch.

Impact

Their new integrated donor recognition solution gives foundation staff a single source of truth for every naming opportunity and donor placement across the organization. Staff can now see accurate floor plans, search donor records instantly, and generate reliable reports for leadership and fundraising teams.

The system reduces manual work, minimizes risk of naming conflicts, and strengthens donor stewardship. Foundation staff now spend less time reconciling data and more time cultivating gifts.

The solution also positions the hospital for future growth: as new buildings open or naming opportunities evolve, the system adapts seamlessly.
